Frequently Asked Questions for Group Leaders

Do you provide itineraries?

We customize daily itineraries for all our tours and everyone in your group will receive a copy. These will be sent to you after we receive your rooming list. We will also send luggage tags and name tags for everyone, plus a special gift for all!

Do your group tour prices include transportation?

Because we serve groups from all over the United States and Canada, it is not possible to include the transportation costs in this book. It is your preference as to who will make the transportation arrangements. You can contact the bus company you use, or we can give you one complete price for the tour AND the transportation, based on the number of people that will be traveling with you on your tour.

When do I know what hotel we will have?

About two months before your tour you will receive a letter with information on your lodging locations, including rooming list forms to complete with the names of everyone in your group. If you need this information earlier, we will work with you.

Some of my group members have special needs. Will they be able to travel with us?

We will be happy to work with you on this. Just let us know in advance of any special group needs, so we can answer your questions about the accessibility of motels and activities and comply, wherever possible, with the ADA. Then indicate on your rooming list anyone who needs first floor accommodations, or a special diet.

What identification do we need when traveling out of the United States?

You should carry your certified birth certificate when traveling to Canada, along with a photo identification. A passport is needed for other out-of-country travel. (Canadian requirement subject to change.)

What do I do if I need more information on a particular tour?

Give us a call at 1-800-437-2323. A tour consultant will help answer your questions and send you more information on the tours you select. If you like working with a particular consultant, ask for him or her.

How do I reserve a tour, and do I receive a contract?

After a date is chosen for the tour, your tour consultant will send you a letter/contract confirming the details of your tour.

What happens after my tour is reserved?

After your tour is confirmed, the tour consultant in charge of the destination you chose makes all lodging, attraction and meal arrangements for you. Your consultant will work with you on your tour until its completion.

When I reserve a tour, do I need to send a deposit?

We ask that you send an initial deposit of $200.00 one month after reserving your tour, followed by $25.00 per person after you´ve received deposits from your group members. The balance is due 45 days before your tour. Payments are always refundable up to two months before your tour should you not get a sufficient response. We will be glad to work with you in meeting payment schedules.

To whom do we send the payments?

Make checks payable to: White Star Tours, and send them to: 26 E. Lancaster Avenue, Reading, PA 19607. We will send you receipts for all your payments.

If a person has to cancel at the last minute, will they get a refund?

We always work with you in refunding everything we can in the event of a cancellation. If cancellations for bus tours occur within two weeks before the trip, there may be nonrefundable deposits involved. In case of cruises, airlines, and trains the appropriate penalties will apply. We strongly recommend that you inform your group members about our Travel Protection Plan for those last-minute medical emergencies. An application for insurance can be given to your group members upon request. This protection covers any unused portion of the tour. Some restrictions may apply.

Do you offer special services and incentives for Group Leaders?

YES! We customize flyers for you, describing your personalized tour and offer videos of many of our popular tours as sales tools for group meetings. Plus, all our bus tours offer 2 Complimentary Trips per bus of 40 paying people. Our fantastic cruises and air tours provide Complimentary Trips for as low as 9 paying people. With a little effort — and with White Star Tours´ help — you can travel the world for FREE!
